How Aubrey Research handles your data

Who we are

Aubrey Research Co operates the website aubreyresearch.com and the Aubrey Research report service. We are the data controller for the personal data we collect. If you have any questions about how we handle your data, contact us at hello@aubreyresearch.com.

What data we collect

We collect the following personal data:

  • Account data: your email address and a hashed password when you create an account.
  • Report data: the locations you search and the tailoring preferences you select when generating a report.
  • Payment data: we do not collect or store any payment card data. All payments are processed by Stripe on their own hosted and encrypted payment page. We receive only a confirmation that payment was successful and the plan you purchased.
  • Usage data: standard server logs including your IP address, browser type and pages visited. This data is used for security and service improvement only and is not used for profiling or advertising.
  • Newsletter data: your email address if you subscribe to Aubrey Discoveries.

Why we collect it and our legal basis

  • Account data: to provide you with access to your reports and account. Legal basis: contract.
  • Report data: to generate your report and save it to your account. Legal basis: contract.
  • Usage data: to keep the service secure and understand how it is used. Legal basis: legitimate interests.
  • Newsletter data: to send you the Aubrey Discoveries newsletter. Legal basis: consent. You can unsubscribe at any time using the link in any newsletter email.

How long we keep it

  • Account and report data: we keep your account and all your reports for as long as your account remains active. If you ask us to delete your account, we will delete your personal data within 30 days.
  • Payment records: we retain basic transaction records for up to 7 years to meet our legal accounting obligations. These records do not include card details.
  • Usage logs: retained for up to 90 days then deleted.
  • Newsletter data: retained until you unsubscribe.

Who we share it with

We work with a small number of carefully selected third-party service providers who help us operate and deliver the service. We do not sell your personal data to anyone. We do not share it for advertising purposes.

The categories of provider we work with are:

  • Payment processing: your payment is handled by a PCI-DSS compliant payment provider. We never see, store or have access to your card details at any point.
  • Database and authentication: your account data and reports are stored securely by a professional cloud database provider.
  • AI processing: the generation of your report involves AI processing of your location and search preferences.
  • Map rendering: interactive maps within your reports are rendered by a specialist mapping provider.
  • Website hosting: our website and application are hosted on a professional cloud platform.
  • Location search: place name and postcode searches use an open geocoding service.
  • Email delivery: transactional emails such as purchase confirmations and report notifications are delivered via Resend (resend.com), a professional email delivery provider.

All third-party providers are required under contract to handle your data securely, to process it only for the purposes we specify, and to comply with applicable data protection law. We do not authorise any provider to use your data for their own purposes.

Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you.
  • Correct any inaccurate data.
  • Request deletion of your data.
  • Object to or restrict certain processing.
